Educational ERP Application
The Campus ERP Application is designed and developed based on inputs from various academies. It has been successfully implemented at MBA School in Chennai. The ERP system consists of multiple interconnected modules, allowing seamless operation across different functionalities. It supports multiple academies under the same management within a single application.
List of Modules in the ERP
1. User Module | 2. Sales Module | 3. Fee Module | 4. Admin Module | 5. Student Module | 6. Student Assessment Tracking Module | 7. Staff Module | 8. Attendance Tracking Module (for both Students and Staff) | 9. Leave Tracking Module | 10. Placement Module | 11. Reports
1. User Module:
This module allows for the creation and maintenance of various user roles within the application. Each role is assigned specific permissions that dictate access levels within the system. Users such as Administrators, Teaching Staff, Non-Teaching Staff, Students, HODs, and Coordinators can be created and managed. The functionality and accessible features of the application dynamically change based on the user’s role after logging in.
2. Sales Module:
This module manages student inquiries, tracks interactions, and oversees the admission process. It collects student data from various sources like media and marketing campaigns, which is then assigned to calling staff members. Staff members can follow up, track responses, and schedule interviews or admission tests. A three-level interview process is in place, with interviewers able to see prior scores. Upon clearing all interviews, the system generates a fee structure and a unique Student ID after registration fee payment. Reports include data on lead assignments, call statuses, student conversion rates, staff working hours, and leave details of admissions staff.
3. Student Module:
The Student Module enables students to access academic details, attendance, assessments, and services. Login credentials are issued after fee payment. Students can view performance reports, class schedules, exam details, and download resources like question papers. They can also apply for leave, on-duty permissions, and gate passes. The module also provides information on placements, job openings, interview schedules, and allows tracking of fee payments and dues.
4. Admin Module:
The Admin Module manages the overall academic structure and supports operational activities. It allows the creation of departments, courses, syllabi, and faculty schedules. Admins can set timetables, manage exams, assign faculty, and oversee attendance and assessments. The module also provides tools to approve/reject student leave, upload academic content, and track faculty workload. Reports include student marks, attendance records, staff leave, and faculty hours. The module also provides information on placements, job openings, interview schedules, and allows tracking of fee payments and dues.
5. Staff Module:
This module facilitates efficient management of all staff members. Staff are categorized into Teaching, Non-Teaching, HODs, Administrators, and Coordinators. Admins can assign them to departments, courses, and manage their teaching schedules through timetable allocations.
6. Placement Module:
This module oversees the entire campus placement process. It maintains a database of companies and their job profiles, tracks placement activities, and schedules interviews. Student placement coordinators can be appointed. The system records performance in interviews and selected candidates. Reports generated include company participation, student selections by year, interview attendance, and analysis by department and package.
7. Student Assessment Tracking Module:
Faculty can monitor student assessments and performance using this module. It integrates with the Staff Module to allow evaluation of student submissions, credit score calculations, and progress tracking. Reports include detailed student assessment scores, credit generation, and assessment completion statuses.
8. Attendance Tracking Module:
This module handles attendance for both students and staff. Faculty mark student attendance for every class, while the system tracks staff attendance and working hours. Reports show monthly and yearly attendance percentages and summaries for both students and faculty.
9. Leave Tracking Module:
This module streamlines the leave process. Students and staff can submit leave, on-duty, or gate pass requests. HODs and Admins manage the approval process. The system maintains historical records and provides reports on leave balances and application statuses.
10. Fee Module:
The Fee Module manages all aspects of student fee collection. It creates fee structures based on course and payment plan, tracks transactions, and monitors dues. Reports include data on paid and pending fees, complete payment histories, and reminders for pending dues.
11. Reports Module:
This module aggregates data from all other modules, offering in-depth analytics and insights. Reports span across student performance, attendance, placements, fee collections, staff workload, and other key metrics to support decision-making and administration.
